We are committed to providing reliable, professional literary support that helps indie authors stay organized, visible, and consistent throughout their publishing journey.
This Service Policy outlines the terms governing our services and explains what you can expect when working with us.
1. Overview
VirtuAssist provides ongoing literary support to indie, self-published, and hybrid-published authors. Our services are designed to reduce the administrative workload involved in running an author business, allowing clients to spend more time writing and publishing.
Our support may include administrative assistance, visibility management, publishing support, and manuscript support, depending on the agreed service package.
2. Scope of Services
The scope of work is agreed upon before the start of our engagement and is based on the selected support package or written proposal.
Our services may include, but are not limited to:
Administrative Support
Inbox management
Reader correspondence organization
Calendar management
Scheduling
Document organization
Visibility Support
Instagram content planning
Caption writing
Content scheduling
Community engagement support
Publishing & Manuscript Support
Launch checklists
ARC coordination
Reviewer tracking
Voice note transcription
Typing handwritten manuscripts or notes
Any work requested outside the agreed scope may require a revised proposal or additional fee.
3. Onboarding & Payment
All new clients begin with a discovery call to discuss their needs and determine the most suitable level of support. Once both parties agree on the scope of work:
A proposal outlining the agreed services will be provided.
Services commence upon receipt of the first payment.
Monthly invoices are payable in advance unless otherwise agreed in writing.
4. Communication
We aim to respond to emails within two business days. Clients are encouraged to provide clear instructions, timely feedback, and all necessary materials required to complete assigned tasks. Delays in receiving information or approvals may affect project timelines.
5. Revisions
Where applicable, reasonable revisions are included for deliverables such as captions, content calendars, checklists, and formatted documents.
Requests that significantly alter the original brief or require additional work may incur extra charges.
6. Client Responsibilities
To ensure an effective working relationship, clients agree to:
Provide accurate information and required materials.
Grant necessary access to relevant platforms and tools.
Respond to questions and requests for clarification promptly.
Respect agreed timelines and communication channels.
7. Confidentiality
Client privacy is fundamental to our work.
All information, documents, manuscripts, account credentials, and business materials are treated as strictly confidential and will never be shared with third parties without written permission.
A Non-Disclosure Agreement (NDA) can be signed upon request.
8. Cancellation
Either party may end the working relationship by providing written notice in accordance with the agreed service terms. Any outstanding work completed up to the cancellation date remains payable.
9. Limitation of Liability
VirtuAssist provides administrative and operational support only. We do not guarantee publishing outcomes, book sales, reader growth, or marketing performance. Our liability is limited to the fees paid for the services provided.
